Frequently asked questions
Clear answers about shared ledgers, invitations, expenses, payments, currencies, and finishing a group.
Getting started
What is squareit.live?
squareit.live is a shared-cost ledger for holidays, households, events, meals, gifts, and other group spending. It records who paid, who shared each expense, and the simplest payments needed to settle.
Do I need to install an app?
No. squareit.live runs in a modern web browser on mobile and desktop.
Why do users sign in with Google?
Google verifies each user’s identity so their groups, expenses, balances, and payment actions remain linked to the correct account. squareit.live creates its own secure HTTP-only session after Google verifies the login.
Can I create different groups with the same people?
Yes. Create separate groups for each trip, household, event, or shared purchase. The app also shows your combined overall position across groups.
Groups and invitations
How do invitations work?
The group owner shares an invitation link through WhatsApp, email, or another app. The invited person signs in with Google and requests to join. The owner then approves or declines the request.
What is the difference between an owner and a member?
The owner controls invitations, approves members, can place the group into close-out mode, and can archive it. Members can participate in the ledger and may leave the group.
Can a member leave a group?
Yes. A member can leave and choose whether to mark their remaining outgoing balance as settled. The group then moves into that member’s history.
What happens when a group is closed?
The owner can enter close-out mode to stop normal new entries while everyone completes final settlements. Once archived, the group leaves the active list but remains available in history.
Expenses and balances
Can expenses be split unevenly?
Yes. Enter exact amounts or percentages for particular people, use the slider, or spread the remaining amount across the rest of the participants.
Can I correct or delete an expense?
You can amend ledger entries and rebalance the group. You can also delete expenses that you created, provided the group is not locked for close-out.
What happens if expenses are added after someone sends a payment?
A sent payment acts as pending credit. Later expenses are added to the ledger and the remaining suggested balances are recalculated around that payment.
Can I see a complete group report?
Yes. Group reports include totals, categories, contributions, allocations, balances, recommended settlements, expense history, accepted payments, and the payment-request audit trail.
Payments and currencies
Does squareit.live move money?
No. squareit.live records and coordinates payments but does not hold or transfer money. A recipient can save preferred bank details or a payment link for the payer to use externally.
When does a sent payment change the balance?
Marking a payment as sent records it as pending credit and removes it from the sender’s immediate payment list. The recipient can accept it or return it as not received.
Who can view my saved payment methods?
Your saved payment methods are fetched only for you or for people who share a group with you. Format checks do not verify ownership or confirm that a bank account exists.
Does squareit.live support multiple currencies?
Yes. Supported foreign-currency expenses are converted into the GBP accounting ledger using a market rate stamped on the expense date. You can also change the display currency without rewriting the ledger.
Privacy and alerts
Can people outside my groups see my data?
No. Snapshots and mutations are limited to groups belonging to the signed-in user. Payment-method details are available only to the owner or people sharing a group with them.
What are settlement-window alerts?
Each group can set an expected settlement period. The app separately shows overdue payments you need to make and overdue payments owed to you.
